Privacy Policy
The Pillar-Based Marketing Company, LLC ("we," "us," or "our"), an Indiana limited liability company, operates the Pillarbase platform ("Service") at pillarbase.ai. This Privacy Policy describes how we collect, use, and protect your information when you use our Service.
1. Information we collect
Account information. When you create an account, we collect your name, email address, and password (stored as a cryptographic hash). If you belong to an organization, we associate your account with that organization.
Usage data. We collect information about how you use the Service, including pages visited, features used, and actions taken within the platform. This helps us improve the product and troubleshoot issues.
Content you provide. We store content you create or upload through the Service, including keywords, content briefs, articles, strategy data, and uploaded documents. This content is necessary to deliver the Service to you.
Third-party integrations. If you connect third-party services (such as Google Drive, HubSpot, or WordPress), we store encrypted OAuth tokens to maintain your connection. We access only the minimum data and permissions required to provide the integration features you use.
2. Google user data
When you connect your Google account to Pillarbase, we access, use, and store Google user data as follows. Pillarbase's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Data accessed. When you authorize the Google Drive integration, Pillarbase accesses:
Your Google account email address and basic profile information (name), used to display your connected account in settings
The ability to create new Google Docs and Google Sheets files in your Google Drive (via the drive.file scope)
Pillarbase does not access, read, modify, or delete any existing files in your Google Drive. The drive.file scope limits our access exclusively to files that Pillarbase creates on your behalf.
Data usage. Google user data is used solely to:
Display your connected Google account email in User Settings
Create Google Docs and Google Sheets documents when you click "Open in Google Docs" or "Open in Google Sheets" buttons within Pillarbase
Maintain a record of documents created by Pillarbase in your Google Drive (document title, type, and link) so you can access them from your User Settings
Data storage. We store the following Google-related data:
OAuth tokens (access token and refresh token): Encrypted at rest using Fernet (AES-128-CBC) encryption derived from our application secret key. Tokens are used only to authenticate API requests to Google on your behalf. Tokens are never shared with third parties.
Google account email: Stored to identify your connected account. Displayed only to you in your User Settings.
Document metadata: When Pillarbase creates a Google Doc or Sheet, we store the document title, type (document or spreadsheet), Google file ID, and URL. We do not store the content of the documents themselves.
Data sharing. Google user data is never sold, shared with third parties, or used for advertising. Google OAuth tokens are used exclusively to communicate with Google APIs on your behalf. No Google user data is shared with any other service, analytics provider, or third party.
Data deletion. You can disconnect your Google account at any time from User Settings. When you disconnect, your OAuth tokens are immediately deactivated. You may also request complete deletion of all Google-related data by contacting us. Disconnecting from Pillarbase does not delete any Google Docs or Sheets files previously created in your Google Drive โ those remain in your Drive under your control.

4. How we protect your information
We take reasonable measures to protect your information, including:
Passwords are stored using industry-standard cryptographic hashing
Third-party OAuth tokens are encrypted at rest using Fernet (AES) encryption
Access to the Service requires authentication
Administrative access is restricted to authorized personnel
5. Data sharing
We do not sell your personal information. We may share information only in the following circumstances:
Third-party services you connect. When you authorize integrations (e.g., Google Drive, HubSpot), data is shared with those services as necessary to perform the actions you request.
Service providers. We use third-party APIs (such as OpenAI) to power AI-generated content features. Content you submit for generation is processed by these providers subject to their own privacy policies.
Legal requirements. We may disclose information if required by law, regulation, or legal process.
6. Data retention
We retain your data for as long as your account is active or as needed to provide the Service. If you request account deletion, we will remove your personal information within a reasonable timeframe, subject to any legal obligations to retain certain records.
7. Cookies
We use session cookies to keep you logged in and maintain your preferences. We do not use third-party tracking cookies or advertising cookies.

Access and update your account information through User Settings
Disconnect third-party integrations at any time
Request a copy of your data or request deletion by contacting us
9. Children's privacy
The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised "Last Updated" date.
